event furniture quantity worksheet
Furniture quantities for 1,000 guests
1000 seated guests need about 1050 chairs at a 5% spare-seat buffer, and 100–125 tables depending on whether you use 10- or 8-seat rounds.
Chairs to order
| Spare-seat buffer | Chairs |
|---|---|
| 0% | 1000 |
| 5% | 1050 |
| 10% | 1100 |
Tables needed
| Seats per table | Tables |
|---|---|
| 6-seat rounds | 167 |
| 8-seat rounds | 125 |
| 10-seat rounds | 100 |
| 12-seat rounds | 84 |
How the numbers are worked out
Chairs = seated guests × (1 + buffer), rounded up. The buffer covers no-shows moved, late swaps and standby seats.
Tables = seated guests ÷ seats per table, rounded up. Fewer seats per table means more tables and wider service lanes.
Assumptions and caveats
- Chairs come from your seated count plus a spare-seat buffer; tables from the seats per table.
- Count guests seated at the same time — split ceremony, dining and standby zones instead of one flat total.
- If a zone reuses the same chairs between sessions, count the peak simultaneous use, not the day's running total.
- These are furniture-quantity estimates only — they are not a venue capacity or a safety limit. Confirm the room’s permitted occupancy, exits and layout rules with the venue.
For 1,000 guests, quantity control needs a numbered floor plan before locking a final count — that is what moves the chair and table totals.
Treat these as a starting worksheet: adjust the buffer for children, standby guests or plated service, then check exact figures in the seating estimator.
